All graduate students in mathematics at UCD are automatically members of the Galois Group.
Officers shall consist of:
One (1) President,
One (1) Vice-President,
One (1) Treasurer,
One (1) Secretary,
One (1) Social Chair,
One (1) Graduate Group in Applied Math Representative,
One (1) Graduate Program Committee Representative,
One (1) Graduate Student Assembly (GSA) Lead Representative for GGAM (GAPM),
One (1) Graduate Student Assembly (GSA) Lead Representative for GMAT,
One (1) Undergraduate Curriculum Program Committee Representative
Such temporary appointments as the President shall make, the duration of said appointments not to exceed the President's term of office.
Officers other than the Presidential appointees are elected to terms of one year. Elections are conducted by ballot during the Spring Quarter and may be held at any time except the first week of classes and finals' week.
The President must announce the election at least one week beforehand and request nominations for officers. Nominations may be submitted to the President in writing until the day before the election, and may be submitted verbally at any meeting called during this nomination period.
Voting Method: Suppose there are N candidates. Voters shall rank candidates from 1 to up to N, assigning no two the same rank for a given position. Rank 1 means “my first choice”, Rank 2 means “my second choice”, and so on. Voters are not required to rank all candidates.
After all votes are collected, the number of Rank 1 votes will be tallied for all candidates. If one candidate has over 50% of the votes, they win. If, on the other hand, no candidates win an outright majority of Rank 1 votes, the candidate with the fewest Rank 1 votes is eliminated. All Rank 1 votes for the failed candidate are eliminated, and Rank 2 choices on these ballots are then counted as Rank 1. A new tally is conducted to determine whether any candidate has won an outright majority of the ballots. The process is repeated until one candidate wins a over 50% of votes cast.
Duties of Officers:
The President is responsible for the conduct of the meetings and elections. The President fills, by appointment, any vacancies in the offices of the Galois Group or any new position which may arise.
The Vice-President is responsible for assisting the President.
The Treasurer is responsible for distributing and managing Galois Group funds and assisting the President.
The Secretary is responsible for member communication and taking meeting notes.
The Social Chair is responsible for planning and organizing social activities.
By invitation of the Department, the Graduate Group in Applied Mathematics (GGAM) Representative serves on the Graduate Group in Applied Mathematics Executive Committee. The GGAM Representative will represent the views of the Applied Math students and act as a liaison between applied math students and GGAM members, providing the GGAM Executive Committee with the views of the Department’s graduate students and informing the graduate students of such proceedings of the GGAM Executive Committee as the GGAM Executive Committee may direct or permit. The GGAM Representative, along with the GPC Representative, will organize the Qualifying Examination Preparation Workshop once per school year.
By invitation of the Department, the Graduate Program Committee Representative serves on the Graduate Program Committee. The GPC Representative will represent the views of the GMAT students and act as a liaison between pure math students and GPC members, provides the GPC with the views of the Department's graduate students and informings the graduate students of such proceedings of the GPC as the GPC may direct or permit. The GPC representative, along with the GGAM Representative, will organize the Qualifying Examination Preparation Workshop once per school year.
The Graduate Student Assembly (GSA) Lead Representative for GGAM (GAPM) Graduate Student Assembly Representatives attends meetings of the Graduate Student Assembly as a voting member of the Graduate Student General Assembly on behalf of the members of the Galois Group. The Graduate Student Assembly Lead Representative is responsible for recruiting additional GSA GGAM (GAPM) Representatives and alternates to attend GSA meetings.
The Graduate Student Assembly (GSA) Lead Representative for GMAT Graduate Student Assembly Representatives attends meetings of the Graduate Student Assembly as a voting member of the Graduate Student General Assembly on behalf of the members of the Galois Group. The Graduate Student Assembly Lead Representative is responsible for recruiting additional GSA GMAT Representatives and alternates to attend GSA meetings.
The additional GSA Representatives (non-elected) represent the views of the Galois Group and report to the Galois Group on the proceedings of the GSA.
By invitation of the Department, the Undergraduate Program Committee (UPC) Representative serves on the Undergraduate Program Committee. The UPC Representative will represent the views of the Applied Math students and act as a liaison between the Department's graduate students and UPC members, providing the UPC with the views of the Department’s graduate students and informing the graduate students of such proceedings of the UPC as the UPC may direct or permit.
Meetings: The President may call a meeting at any time. At the request of eight members, the President must call a meeting within two weeks. Meetings must be announced by the delivery of a notice to each member's mailbox or graduate student mailing list with at least three working days notice before any meeting. Each meeting shall have a non-in person option for attending. A quorum shall consist of five members. Decisions of the meeting are made by majority vote. Each member has one vote, except that the Vice President may break ties. Members may vote by proxy having communicated their vote to any member in attendance prior to the vote taking place.
Ballots: The President may call a mail ballot at any time. Any eight members can call for a ballot vote on any issue(s). The President must call for a vote on such issue(s) which must be within five working days. A ballot must be delivered to each member's department mailbox or to the graduate student mailing list and each member must be permitted at least three working days to respond to the ballot. The results of a ballot take precedence over Presidential rulings and decisions of Group meetings.
Recall of Officers: An elected officer may be recalled by a two-third majority of votes cast in a ballot. An appointed officer may be recalled by a simple majority of votes cast.
Should the office of the President become vacant for any reason, the Vice President shall have the option to assume the role of President or remain as Vice President. If the Vice President chooses to remain, then the Treasurer shall then also have the option to assume the role of President or remain as Treasurer. If both the Vice President and Treasurer choose to remain in their positions, then the Vice President shall conduct a special election to fill the role of President for the remainder of the academic school year.
The President is required to hold a special election to fill any vacancy in the Vice President or Treasurer positions. The President may either hold a special election or make temporary appointments to fill all other officer vacancies that are not the Vice President or Treasurer.
This constitution may be amended only by a two-thirds majority of votes cast in a ballot.
Fund distributions over $50 require a two-thirds majority of votes cast either in a mail ballot or during a meeting.
